How to Setup a New Truck

Truck Profile Information:

• • Start by logging into your Axis TMS account.
  • Navigate to the "Personnel Fleet" or "HR Dashboard" section.
  • Click on the option to "Setup New Truck"

1. Truck Profile Information:

   • Truck ID: Assign a unique alphanumeric identifier for the truck. This helps differentiate it from other vehicles in your fleet.
   • Select Driver 1 and Driver 2: Assign primary and secondary drivers to this truck. Choose from the list of available drivers.
   • Telematics Equipped: Indicate whether the truck is equipped with telematics technology for real-time tracking and data collection.
   • Type of Truck: Choose the appropriate category that best describes the truck's purpose (e.g., Box Truck, Flatbed, Reefer).
   • Model: Specify the model name or number of the truck.
   • Year: Enter the year the truck was manufactured.
   • Make: Enter the manufacturer or brand of the truck.
   • Odometer When Hired: Input the truck's mileage reading at the time of hiring.
   • VIN #: Enter the Vehicle Identification Number, a unique code that identifies the truck.
   • Ownership Information: Select the ownership type from the available options (Owned, Owner Operator, Lease).
   • Truck Value: Enter the estimated monetary value of the truck.
   • Truck Title: Upload a copy of the truck's title document for record-keeping.
     
     

2. Registration and License Plate:

   • License Plate: Enter the alphanumeric license plate number assigned to the truck.
   • Select Plate State: Choose the state in which the truck is registered.
   • Expiration Date: Provide the date when the current license plate registration expires.
     
     

3. Tire Size and MPG:

   • Tire Size: Specify the dimensions of the truck's tires (e.g., 225/70R19.5).
   • MPG: Enter the average miles per gallon the truck achieves for fuel efficiency calculations.
     
     

4. Gross Vehicle Weight (GVW) and IFTA:

   • Gross Vehicle Weight (GVW): Indicate the total weight of the truck, including cargo and passengers.
   • IFTA (Over 26,001 GCWR Only): Provide International Fuel Tax Agreement details.
     • IFTA Sticker No: Enter the unique identification number on the IFTA sticker.
     • IFTA Expiration Date: Specify when the IFTA sticker expires.
       
       

5. Highway Tax 2290 Form:

   • Next Renewal Date: Enter the upcoming renewal date for the Highway Tax 2290 form.
   • Attach File: Upload the relevant document related to the Highway Tax 2290 form.
     
     

6. Insurance Information:

   • Physical Insurance, Liability Insurance, and Cargo Insurance: Provide details for each type of insurance.
     • Policy: Enter the insurance policy number.
     • Value Insured: Input the insured value of the truck or cargo.
     • Expiration Date: Specify when the insurance policy expires.
   • Attach Insurance: Upload the respective insurance policy documents.
     
     

7. Additional Expiry Items:

   • Expiry Item Name: Name any additional items or permits with expiration dates.
   • Expiration Date: Enter the date when the specified item expires.
     
     

8. Additional Signed Documents:

   • Document Name: Specify the name of any additional signed documents or contracts.
   • Attach File: Upload the corresponding document.
     
     

9. Maintenance Schedule:

   • Maintenance Type: Define the type of maintenance required (e.g., oil change, tire rotation).
   • Due Date: Provide the date when the maintenance task is due.
     
     

10. Truck Images:

    • Image Name: Assign a name to the uploaded truck image.
    • Attach File: Upload images that visually represent the truck.
      
      

11. Join Date and Status:

    • Join Date: Enter the date when the truck was added to the fleet.
    • Status: Choose the current operational status of the truck (Active, Inactive, Out of Service).
      
      

12. Note:

    • Note: Add any relevant notes, comments, or specific details about the truck that may assist in its management.
      
      

13. Review and Save:

    • Carefully review all the entered information for accuracy and completeness.
    • Click the "Save" or "Submit" button to finalize the creation of the new truck profile.
